Notifications allow you to set when Comfort Advisors are notified of customer activity such as viewing, accepting, or declining your offer. The Sales Builder Pro user who creates a proposal will be notified by email, in real-time, when each of these events occurs:
1. First View. It is considered a “best practice” to send an eSign Link while at the “kitchen table” to make sure your prospect gets the text or email and can navigate the buying experience. To avoid an unnecessary email on this first view there is a grace period to skip these emails. The default for the grace period is 60 minutes but this can be adjusted in your Management Portal from 0 to 720 minutes. When setting the grace period, think about how long the Comfort Advisor is expected to be in the home after the initial viewing while in the customer's home.
2. Gaining Views. On any day before expiration, you’ll get a notification when the customer is viewing your proposal. Limited to one notification per day to avoid email overload.
3. Acceptance. This is good news and likely a great time to reach out to your customer to thank them for their order and organizing next steps, like
- Reassuring them they made a great decision, don’t let “buyer’s remorse” set in
- Collecting a downpayment,
- Helping them navigate financing, or
- Scheduling an install date.
A notification will also be sent to the back office with a copy of the signed proposal. If you would prefer to only receive one notification, you can uncheck the notification here. You can not disable the back office notification.
4. Declines. This might be a chance to clarify a misunderstanding and salvage the order. Some HVAC companies have a dedicated “re-hash” sales team or process that might need to be engaged – See Saving My Order for ideas.
Each of these may be optionally turned off in the Management Portal.
