Use the built-in follow-up timeframes to find:

- π‘ Warm Deals β Pending deals from the prior 7 days
- π΅ Cold Deals β Pending deals from the prior 30 days
You can also use Deal Search and its available filters to narrow your results and find the opportunities you need.

βοΈ Manage Deal Status and Acceptance
Deal Manager allows your team to keep proposal status and acceptance information up to date.
Proposal statuses include:
- Pending
- Accepted
- Declined
- Obsolete
You can also track how a deal was accepted, such as verbally, by email, or with a signature. This helps the office determine whether additional paperwork or follow-up is still required.
Deal status is synchronized between the Management Portal and the Sales Builder Pro App.
β Verify Multi-Option Wins
When a customer accepts a proposal containing more than one option, Sales Builder Pro prompts you to verify which option was accepted.
This helps prevent confusion between the accepted option and the options the customer did not select.
π Add and Share Deal Notes
Deal Notes help the field and office communicate important information about an opportunity.
Notes can be added from the Sales Builder Pro App or Management Portal and shared with other users working with the deal.
Notes can also be color-coded to quickly communicate status:

When a proposal is sent using the eSign Toolkit, Deal Manager gives you additional insight into customer activity.
Deal Search/Export includes eSign information such as:
- eSign Views β See how many times the proposal has been viewed
- Last eSign Action β See the customer's most recent activity
- eSign Expiration β See when the proposal is scheduled to expire
Select an eSign deal to view its activity timeline and detailed history.
This can help your team determine which customers are actively reviewing their proposals and may be ready for a follow-up conversation.
π€ Manage eSign Proposals
For eSign proposals, Deal Manager also provides tools to help you continue the sales process.
You can:
- Send the eSign link to the customer
- Review customer viewing activity
- View detailed eSign history
- See where the eSign link was sent
- Track Accepted or Declined status changes
- View the proposal expiration date
- Change the proposal expiration date when needed
π‘ Note: Changing the expiration date creates a new copy of the proposal with the revised expiration date. When you save the change, you'll be prompted for your signature to validate the updated proposal.

Obsolete proposals can be hidden from your active deal searches while still remaining recoverable.
Regularly updating proposal statuses helps keep Deal Manager focused on opportunities that still require action.
π‘ Best Practice: Don't leave lost opportunities sitting in Pending indefinitely. Update deals to Declined or Obsolete when appropriate so your pipeline provides a more accurate picture of your active opportunities.
